Race Director
2025 Saint Louis Track Club Half Marathon/5K

Location: St. Louis, Missouri
Position Summary
The St. Louis Track Club is seeking a qualified and experienced Race Director to manage and oversee the planning, execution, and post-event activities for our annual Saint Louis Track Club Half Marathon/5K which attracts approximately 1,400 participants. We are committed to delivering a safe, professionally managed, and enjoyable experience for all participants.
The Race Director responsibilities include:
​Pre-Event Planning:

Collaborate with the St. Louis Track Club Board to develop an operational plan and timeline.

Secure all necessary permits and coordinate with local authorities (e.g., police, city officials, public works, and parks departments).

Create and oversee the course design, including signage, aid stations, and safety measures.

Manage vendor contracts (e.g., timing services, medical services, porta-potties, equipment rental, etc).

Assist with participant registration setup and tracking.

Develop a comprehensive safety and emergency response plan.
Sponsorship Acquisition:

Work with the St. Louis Track Club Board to identify potential sponsorship opportunities.

Reach out to and secure commitments from sponsors to support the event financially or with in-kind contributions.

Ensure sponsor recognition through event materials, signage, and announcements.

Maintain strong relationships with sponsors to encourage future involvement.
Event Execution:

Oversee all race-day operations, including setup, volunteer coordination, and teardown.

Ensure the course is properly marked and staffed with volunteers.

Address any on-site issues or emergencies promptly.

Coordinate with timing services to ensure accurate results.
Post-Event Responsibilities:

Manage cleanup and ensure compliance with permits and local regulations.

Prepare a post-event report summarizing successes, challenges, and recommendations for improvement.

Attend a debriefing meeting with the board.
Qualifications:
-
Proven experience as a Race Director for an event similar is size and scope.

Strong knowledge of race operations, logistics, and safety protocols.

Familiarity with St. Louis municipal regulations and permitting processes.

Excellent organizational, communication, and leadership skills.

Ability to manage a budget effectively.

Flexibility to work early mornings, weekends, and extended hours as needed.
Proposal Requirements:

Cover Letter: Brief introduction and summary of qualifications.

Resume/CV: Detailed professional experience relevant to the Race Director role.

Event Portfolio: Examples of similar events you have managed, including size, location, and scope of responsibilities.

References: At least three professional references from past events.

Budget: Proposed compensation and a detailed breakdown of fees and expenses.

Work Plan: A proposed timeline and approach to managing the event.
